Team Administrator Onboarding

The Team Administrator supports the coaching team by managing the organisation and administration of the team, helping everything run smoothly off the pitch so coaches can focus on player development, training and match days.


Key Principle: Every team operates slightly differently. Agree with your coaches how responsibilities will be shared, ensuring all key administrative duties are covered.

Get Started

  • Meet the coaching team and agree how responsibilities will be shared.
  • Join the relevant communication channels (e.g. WhatsApp, social media, Spond and email).
  • Familiarise yourself with the FA systems, club website and membership platform.
  • Although not mandatory for non-coaching administrators, we encourage completion of:
  • Enhanced DBS Check
  • FA Safeguarding
  • Emergency First Aid


The club will reimburse approved course costs.


Manage Fixtures

  • Ensure all players are registered before playing.
  • Keep the team squad list up to date and share it with the opposition.
  • Communicate fixture details to parents, the opposition and match officials.
  • Follow up missing away fixture information.
  • Notify parents, the opposition and officials of any postponements or cancellations.

Complete Match Returns

  • Submit results in line with league and FA requirements.
  • Complete required match returns and statistics.
  • Report any incidents or concerns through the club’s reporting process.

Support Player Registration

  • Support new players through the club’s trial process.
  • Ensure everyone attending training is either on trial or a registered club member.
  • Assist parents with registrations where required.
  • Help resolve registration and membership queries.

Keep Everyone Informed

  • Support new players through the club’s trial process.Be the main point of contact for parents on team administration matters.
  • Communicate training changes, fixtures and other key club information.
  • Work closely with coaches to ensure information is shared promptly.

Understand the Kit Process

  • Understand the club’s kit policy.
  • Liaise with the club regarding any kit queries.

Work with the Club

  • Raise any team concerns with the appropriate committee member.
  • Support the club in following up outstanding registrations and membership fees where appropriate.
